A graduate program cover letter should explain why you want that employer's program and show how your study and experience prepare you to contribute. You do not need a long professional history. A university project, part-time job or volunteer role can provide useful evidence when you explain your actions and their relevance.

This fictional example is for a business graduate applying to an employer's operations graduate program. It is not a university postgraduate admission letter. Replace the experience and program details with accurate information of your own.

In a university team project, we examined delays in a fictional service process using the dataset provided for assessment. I checked the records for missing values, compared waiting times across stages and prepared a summary of where delays were concentrated. I discussed the limitations with my teammates and helped turn our findings into recommendations for the final presentation. This gave me practice connecting analysis to a practical operational question.

In my part-time retail role, I maintain accurate order records and follow up customer enquiries. When an order requires another team's input, I record the outstanding action and confirm the next step with the customer. Balancing this work with study has also taught me to plan ahead and communicate early when priorities change.

What to change for each graduate program

  • Program and stream: name the actual intake and area you are applying to.
  • Motivation: identify a verified feature of the work or program and explain why it interests you.
  • Evidence: select examples matching the advertised capabilities, such as analysis, teamwork or customer communication.
  • Study status: state your degree and actual or expected completion date accurately.
  • Documents: include only the attachments requested and answer any separate application questions.

Do not assume every program accepts the same degrees, graduation dates or work arrangements. Check the current program page for eligibility, location, commencement date and application requirements.

Paragraph 1: I am applying for [program, stream and intake]. My [degree/status] and experience in [relevant area] connect with your focus on [specific program or role feature].

Paragraph 2: In [project, placement or activity], I was responsible for [task]. I [actions], which led to [supported output or result]. This developed [capability relevant to the program].

Paragraph 3: Through [different experience], I demonstrated [another important capability] by [specific example].

Close: I would bring [supported strengths] to [program]. Thank you for considering my application. [Refer to requested documents and invite discussion.]

Use this as a planning outline, then rewrite it into natural paragraphs. A letter made entirely of brackets and broad adjectives will not show the employer what you can do.

No internship? Use other relevant evidence

A group assignment can show how you analysed information or resolved conflicting approaches. Part-time work can show reliable service, accuracy and follow-up. Volunteering can show coordination and communication. Explain your contribution and label the context honestly; a classroom case study should not read like a paid consulting engagement.

Choose a supported outcome, such as a completed presentation or a process the team adopted. Do not invent a business impact for an academic exercise. If a result was shared, state what you contributed.

Final application checklist

Follow the program's length and submission instructions; keep the letter concise. Check the organisation, stream, reference and recipient. Remove old employer names and unsupported claims.
