An applicant tracking system (ATS) is software employers use to organise recruitment. It can hold applications, help teams review candidates, manage communication and track hiring stages. It is broader than a resume keyword checker. This guide explains what that means when you apply for a job.

Workday's ATS overview describes application management, screening and scheduling, while SAP explains configurable recruitment workflows. Features and employer settings differ, so one company's process is not a universal rule for all applications.

Parsing, searching and selection are different steps

  • Parsing: software extracts information from a resume and may put it into fields such as employment and education. Check those fields when the application lets you review them.
  • Searching and filtering: hiring teams may use information in the system to find relevant candidates. Explain your actual skills using clear, appropriate terms.
  • Selection: employers review candidates through their configured process. Software may support parts of that workflow, but an extracted keyword is not an interview or job offer.

These distinctions matter when diagnosing a problem. A date placed in the wrong field is a data-extraction issue. It does not tell you whether the employer considered your experience suitable.

Does a parsing error automatically reject your resume?

Do not assume that it does. Greenhouse documents cases where a resume stays attached after parsing fails and details need to be entered manually. That is one platform's behaviour, not a promise about every system.

The same documentation identifies layouts and image-based files that can cause incomplete extraction. A clear document reduces avoidable complexity, but no layout guarantees selection.

Before uploading: check the document

  1. Follow the stated file requirements. Use the employer's accepted format and size limit. There is no need to guess when the instructions are explicit.
  2. Keep essential information in ordinary text. Put contact details, role titles and dates where they can be read without interpreting an image or decorative graphic.
  3. Use clear headings. Work Experience, Education and Skills help a reader follow the document.
  4. Check the exported file. Open it, inspect page breaks and try selecting and copying the text. This is a basic readability check, not a full ATS test.
  5. Tailor truthfully. Use the advertisement's terminology when it accurately describes your experience, and support it with examples.

After uploading: check the application fields

An upload can succeed while some autofilled details are wrong. Review your contact information, employers, titles, dates and education before submitting. Correct the fields you can edit and answer the application questions accurately. Greenhouse's candidate guidance also recommends checking parsed information.

If a field cannot be corrected, follow the portal's help process or contact the employer through the application support details. Keep a copy of what you submitted and any confirmation. Do not repeatedly submit duplicate applications to test the system.

Keywords and ATS scores: what to avoid

A tool's score reflects that tool's method. Treat suggestions as prompts to review relevance, not proof of how an employer will rank you. Do not add skills you lack, paste the entire advertisement into the resume or hide keywords in invisible text.

For example, if a role asks for customer relationship management experience, name the CRM you used and explain the work you performed. A supported example is more useful to the reader than repeating “CRM” in every section.
